How can I edit my invoice details?

Someone prefers to pay by bank transfer and requests an invoice with your bank details? No problem! You can edit your receipt details afterwards via "Edit invoice details" on MY orderbird. Adjust recipient details, specify the service period, payment deadline, bank details, or your email address on the receipt.


In a nutshell

  • Log in to MY orderbird and click on "Receipts".
  • Click "Edit invoice template" at the top to adjust the layout for all receipts or click the small pencil icon next to a receipt to edit it individually.
  • Enter the recipient's address or specify the service period, payment deadline, bank details, or email address.
  • Download the receipt as a PDF and print it or send it via email.

Step by step

Edit Template for All PDF Receipts

  1. Log in to MY orderbird.
  2. Click on Receipts.
  3. Click "Edit invoice template" at the top.
  4. Choose whether your email address, IBAN, or receipt details (e.g., hospitality receipt) should be displayed on invoices sent to customers.
  5. When you download the receipt or send it via email to your customers, the updated settings will apply, even retroactively to old receipts!
  6. Click the blue "Save" button to confirm your changes.
  7. Now you can save the invoice as usual as PDF and print it, or send it via email to your guest.

Good to know

Any changes that you make to an receipt are protocolled in your journal. This ensures that changes are transparent and financially compliant.

 

Edit Individual PDF Receipts

  1. Log in to your MY orderbird account and click "Receipts" in the main menu on the left.
  2. Click the small pencil icon next to the receipt to edit its details.
  3. Enter the recipient's address. If there are already recipient details and you change them, the old data will not be saved!
  4. Select checkboxes such as "Date of Service" and "Your Email Address" to display these details on the invoice.

    Date of Service

    Important: The service period is a legal requirement if the receipt is to be tax-deductible. The service period corresponds to the receipt date in our system.

     

    Payment Deadline

    You can also add a payment deadline—the date by which the payment should be received. To ensure your customers know where to send the money, enable "Your Bank Information". This will display your stored bank details on the invoice.

     
  5. Click the blue "Save" button to confirm your changes.
  6. You can now download the receipt as a PDF and print it or send it via email to your customers.

Tax Compliance

Every modification you make to a receipt in orderbird PRO is logged in your journal, ensuring full traceability and compliance with tax regulations.
